Last month through the “secret” link in the newsletter, a good amount of you left comments on what type of articles you would like to see within Tech Talks, specifically the majority were reference some type of Microsoft office tips/tricks and or training. Great news, Pearl already offers several courses available to help improve your skills within Office 365! Courses are offered for various products such as Excel, Outlook, Word, PowerPoint, etc. I’ve included a quick FAQ tip for Excel, Outlook, & Word below and if you are interested in learning more, please login to your Paycom account to access additional free training courses you can do at your leisure to improve your skills further (steps on how to access below the tips).
Excel – How to use Vlookup
Prepare Data:
- Have two sets of data: one with what you want to find (lookup data) and another where you want results.
Select Destination Cell:
- Pick where you want the result to appear.
Write Formula:
- In that cell, type =VLOOKUP( and then fill in:
- The value you’re looking for (lookup_value),
- The range where you’re looking (table_array),
- The column number with the result (col_index_num),
- FALSE for an exact match.
- Example:
- If you’re looking up a product’s price in columns A and B, and you have the product name in A2, the formula could be:

- =VLOOKUP(A2, $A$2:$B$10, 2, FALSE)
Press Enter:
- Hit Enter. Excel finds the value and shows the result in the cell.
Outlook – How to send encrypted emails
Compose a New Email:
- Open Microsoft Outlook and click on the “New Email” button to create a new message.
Enable Encryption: - In the new email window, look for the “Encrypt” button in the ribbon at the top.
- Click on the “Encrypt” button.
Choose Encryption Options:
- A dropdown menu will appear. Select “Encrypt” from the options.
- This will initiate encryption for the email you’re composing.
Compose Message:
- Add the recipient’s email address, subject, and write your message.
- Attach any files you want to include in the encrypted message.
Send Email:
- Once you’ve finished composing the encrypted email, click the “Send” button.
Recipient Access:
- The recipient will receive the encrypted email in their inbox.
- If they are using Outlook or a compatible email client, they should be able to open and read the encrypted message seamlessly.
- If they’re not using a compatible client, they might be prompted to use a web portal to access the encrypted content. They’ll typically receive instructions in the email on how to do this.
Word – How to utilize comments
Open Document:
- Open your Word document in Office 365.
Highlight Text:
- Select the text you want to comment on, or just place the cursor where you want the comment.
Add Comment:
- Go to the “Review” tab.
- Click “New Comment.”
Write Comment:
- Type your comment in the box that appears on the right.
Resolve or Delete (Optional):
- Resolve when done or delete if not needed.
- Right-click a comment for options.
Navigate Comments:
- Use “Previous” and “Next” buttons to move between comments.
- Click a comment in the pane to go to it.
Reply (Optional):
- Click “Reply” to respond to a comment.
- View All Comments:
- Open “Reviewing Pane” to see all comments.
Save Document:
- Save your work after adding comments.
Access Additional Microsoft Office learning through Paycom
- Access your Paycom account @ https://www.paycomonline.net/v4/ee/web.php/app/login
- Once logged in hover over on “Learning” from the menu bar and select “My Learning”.
- In the search bar at the top search the term “Microsoft” and 31 courses should be available for you.
- If you have issues logging into your paycom account connect with your supervisor or HR for assistance.
